                                Standard Operating Procedure (SOP)

1. Purpose

To outline the procedure for conducting routine and special medical checkups to ensure early detection, prevention, and management of health-related issues among employees/patients.

2. Scope

This SOP applies to all individuals (employees, patients, or other stakeholders) undergoing medical examinations at [Organization/Clinic Name].

3. Responsibilities

  • Medical Officer / Physician: Conduct examinations, interpret results, and advise accordingly.

  • Nurse / Medical Assistant: Support the examination process, record vital signs, assist in sample collection.

  • HR/Admin Department: Schedule appointments, maintain records, and ensure compliance.

  • Patient/Employee: Attend scheduled checkups and follow pre-checkup instructions.

4. Procedure

4.1 Pre-Checkup Preparation

  • Scheduling: Appointments must be scheduled in advance.

  • Fasting Instructions: If required (e.g., for blood sugar tests), inform the individual to fast 8–12 hours before the checkup.

  • Documentation: Collect and verify identity and previous medical records (if any).

4.2 Registration

  • Verify individual’s identification.

  • Update or create a new medical record.

  • Provide an overview of the tests/checkup procedures.

4.3 Conducting the Medical Checkup

  • Vital Signs: Measure and record blood pressure, heart rate, temperature, height, and weight.

  • Laboratory Tests: Collect blood, urine, or other required samples.

  • Physical Examination: General examination by a medical officer (e.g., heart, lungs, abdomen, ENT, etc.).

  • Specialized Tests: As per individual health profiles (e.g., ECG, X-ray, vision tests).

  • Medical History Review: Review personal and family medical history.

  • Lifestyle Assessment: Assess smoking, alcohol consumption, exercise, and diet habits.

4.4 Post-Examination

  • Review Results: Analyze laboratory and physical examination results.

  • Medical Consultation: Doctor discusses findings, offers medical advice, and suggests further investigations if necessary.

  • Reporting: Provide a summary report to the individual and HR/concerned authority (if applicable).

  • Follow-Up: Schedule further appointments for abnormal findings or referrals.

6. Safety and Hygiene

  • Use disposable gloves and sterilized equipment.
